Role summary
We are seeking a friendly, organised and proactive Receptionist to support a busy architectural practice on a part-time basis 9.30am – 3.30pm, 5 days a week. This is an initial 6-month contract with the potential to extend depending on business requirements. As the professional first point of contact for clients, consultants, suppliers and visitors, you will play an important role in creating a welcoming and well-organised office environment. Key Responsibilities • Maintain a professional, welcoming and well-presented reception area, meeting rooms and office spaces. • Greet and assist visitors, clients, consultants and suppliers, ensuring a positive front-of-house experience. • Manage incoming calls, take messages and direct enquiries appropriately. • Coordinate visitor sign-in processes and meeting room bookings. • Prepare meeting rooms and organise refreshments or catering when required. • Manage incoming and outgoing mail, couriers, deliveries and general correspondence. • Monitor and maintain office stationery, kitchen supplies and general office inventory. • Liaise with suppliers, service providers and building management as required. • Maintain the central email inbox and distribute enquiries to relevant team members. • Support the administration team with document preparation, formatting, filing, scanning, printing, binding and archiving. • Maintain databases, contact records and administrative systems. • Assist with staff events, office celebrations and employee engagement activities. • Provide general administrative support to staff across the practice. • Assist with ad hoc errands and office-related tasks as required. Skills & Experience • 3+ years experience in a Receptionist, Administration Assistant, Office Assistant or similar support role. • Excellent verbal and written communication skills. • Professional presentation and customer service skills. • Strong organisational skills with the ability to prioritise tasks effectively. • High attention to detail and a proactive approach to work. • Confident using Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint and Teams. • Ability to learn new systems and processes quickly. • Reliable, trustworthy and able to maintain confidentiality.
